Personal Information Protection Policy (Application Privacy Policy)

Article 1. Definition
This Application Privacy Policy (hereafter “Privacy Policy”) provides for the handling of user information in smartphone program searches and the schedule management system “MICEnavi®” (hereafter the “App”) relating to events, which event organizers entrust and provides to the custodian MICE One Corporation (hereafter “Custodian”).

Article 2. Information to be acquired, Purpose of Use and Method of Acquisition
When you use the App, we acquire the following information via the App for the purpose stated below; however, if the App does not include the function stated in the purpose of use below, we will not acquire the user information indicated below.
Furthermore, we will obtain the user information indicated below only if you give your consent to the acquisition of this particular information. Unless you give your consent, you cannot use this function.

Article 2.2 Information Registered by the User
The following is an outline of information to be registered by the user within the App.

  1. At the time of initial use of the App, you will register your email address and password. Registered information is used for purposes such as synchronization between multiple devices of registered data including the user's schedule, and is not provided to third parties.
  2. At the time of initial use of the App, you will register your name and affiliation in addition to the items provided for in section 1 of this article. Registered information will be used for the purpose of identity verification and prevention of unauthorized use of the App and will not be provided to third parties.
  3. At the time of initial use of the App, you will register your gender, age group and country of residence in addition to the items provided for in section 1 and 2 of this article. Registered information will be used for the purpose of assessment of the usage status of the App and will not be provided to third parties.

Article 3. Consent

  1. We ask you to read this Privacy Policy carefully and to use the App with a clear understanding of the contents. This Privacy Policy is posted on our website as indicated in Article 7, and the posting on our website constitutes our public disclosure of this Privacy Policy. We ask you to read this Privacy Policy carefully before installing the App.
  2. If events intends to acquire information for the purposes of use stated in Article 2 and Article 2.2, we will ask for your consent in regard to the acquisition of that specific information. Please note that you cannot use the function described above unless you give your consent.
  3. If we intend to provide your user information to any third party, we will obtain your prior consent.

Article 4. External Transmission
User information acquired in accordance with Article 2 and Article 2.2 is forwarded to the server managed by the Custodian, and used within the scope of the purpose of use.

Article 5. Method of User Involvement
This App allows you, through your own operation of the App, to suspend acquisition or amend your user information in whole or in part.

  1. You can use the settings screen of the App to change your registered user information.
  2. You may also suspend acquisition of location information by disabling the GPS function of your device. Please note that you cannot obtain distance information if the GPS function is disabled.

Article 6. Termination of Use of the App and the Handling of Information
Use of the App will be terminated when you delete (uninstall) the App. However, user information will not be deleted. To have user information deleted or to have the use thereof ceased, users may submit a request to that effect to the Custodian. Once the request is issued, user information will be promptly deleted from the server administrated by the Custodian. Please also note that organizers have no obligations to retain user information after events end.

Article 8. Disclosure and Provision of Information
Without obtaining your consent, organizers of the events will not disclose or provide your user information acquired via the App to third parties other than those it makes explicit in this Privacy Policy. Note that the above excludes the following cases:

  1. When laws and regulations apply,
  2. When there is a need to protect the life, person or property of a person, and obtaining the consent of the person in question is difficult, or
  3. When it is necessary to cooperate in the execution of actions by a government agency, a local public organization, or entity or person entrusted by either of the aforementioned in accordance with laws and regulations, and obtaining the consent of the person in question may hinder the said execution.

Article 10. Amendment
This Privacy Policy may be amended.

  1. If we make changes or add items to the user information we acquire, or if we make changes regarding the purpose of use or provision to third parties, etc. when we update versions of the App, we will notify you prior to installation of the App. Furthermore, when there are important changes, we will ask you to give your consent again before installation or at the time of installation.
  2. In addition, if we make changes or add items to the user information we acquire, or if we make changes regarding the purpose of use or provision to third parties, etc., we will notify you via the email address you registered and at that time we may also ask you to give your consent again in regard to any important matters.
